Meeting Room Policy
and Guidelines
The Flint Public Library has two meeting rooms for use, free
of charge, by non-commercial groups or organizations of a civic,
cultural, and educational character. Maximum seating capacity
in Room B-1 is 323 and Room 205 is 112.
No admittance fee may be charged, contributions solicited, or
collections made.
No group may use the library as a permanent meeting place or
mailing address. The meeting rooms may be requested for up to
two (2) months in advance.
Religious meetings, partisan-political meetings, and social
gatherings are prohibited.
Groups requiring multimedia equipment should supply their own
equipment as needed.
RESERVING A ROOM
Requests should be made to the Director’s
Office. Rooms are available only during the days and hours that
the Library
is open, and for purposes that will not interfere with other
library services.
If the planned use is in keeping with the policies and guidelines
as listed above, and if the time requested is available, confirmation
will be sent by mail.
Demand for meeting room space is high, so reserve early. Library-sponsored
programs and groups are given preference.
ROOM USE
Posted room capacity must be observed.
Meeting rooms will be set up in advance by library personnel.
Feel free to rearrange the room as needed, but return furnishings
to their original order and condition before leaving.
Board of Trustees of the Flint Public Library policy prohibiting
alcohol consumption must be observed as well as smoking restrictions.
Users are responsible for enforcing these regulations. The Board
may deny use of meeting rooms if Board policy and Library regulations
are not observed.
REFRESHMENTS
Since there are no kitchen facilities, food should be limited
to light refreshments, such as coffee, cookies, and donuts.
Users are responsible for removing debris from tables and
floors.
PUBLICIZING YOUR PROGRAM
When using posters and other publicity, please avoid giving
the impression that the program is sponsored or approved by the
Flint Public Library.
